DSA_API — Privacy Policy (QuickBooks Online)

This policy explains how Desert Skies Aviation Training LLC handles data when the private app DSA_API connects to QuickBooks Online. It is in addition to the Desert Skies Portal Privacy Policy.

DSA_API is a private, unlisted integration. It is not a consumer marketplace product and is not offered to the public.

Who this covers

Authorized operators who connect our QuickBooks Online company files:

  • Desert Skies Aviation Training LLC
  • Jaybird Sim Center LLC
  • Aviation Intelligence Inc (when that company file exists)

Information we access from QuickBooks Online

With the Accounting scope, DSA_API may read and write:

  • Company name, legal name, and realm (company) identifiers
  • Chart of accounts, classes, and locations
  • Customers, vendors, and employees as they exist in QuickBooks
  • Invoices, bills, payments, deposits, journal entries, and bank transactions
  • Attachments and notes stored on those records

We do not request Intuit Payments API access. We do not use QuickBooks data for advertising.

How we use it

  • To keep the group’s books of record in QuickBooks Online
  • To import classified bank and processor activity
  • To prepare reports for our CPA and tax filings
  • To troubleshoot a connection we operate

Where it is stored

OAuth access and refresh tokens are stored on an authorized operator’s machine under a restricted books folder, not in this portal’s student database and not in git.

Exported accounting files used for reconstruction live in the Aviation Intelligence corporate Dropbox (restricted books paths). QuickBooks Online remains the system of record.

Sharing

We do not sell QuickBooks data. We may share it with:

  • Our CPA, bookkeeper, or lawyer when they are engaged on our books
  • Intuit, as needed to operate the API
  • Authorities when required by law

Independent CFI workspace data in the student portal is separate. DSA_API does not pull student training records from QuickBooks unless someone typed them into a QBO company.

Retention

Tokens are kept until we disconnect or rotate them. Accounting exports are kept as long as tax and corporate-record rules require (generally at least seven years for tax workpapers).
